FlyZero Executive Assistant

We are looking for a highly organised, motivated person with attention to detail to fulfil the role of Executive Assistant.

FlyZero

FlyZero is the ATI project to enable the UK to lead a revolution in zero-carbon commercial air travel. We are pulling together expertise from across the UK supply chain and universities in an initial 12-month programme to look at the design challenges and market opportunity of potential zero-emission aircraft concepts. The strategic research project will consist of approximately 100 experts from industry and academia looking at areas including the technical and commercial viability of a future zero-carbon emission commercial aircraft design; technology and industrialisation road maps; and assessments of the sustainability issues, the UK industrial capability, and market and economic viability.

About the role

  • Ensuring the Project Director’s and leadership team’s expenses incurred, are processed in accordance with the Institute’s travel & expenses policy.
  • Organising and maintaining the diaries and appointments for the Project Director and leadership team.
  • Organising travel and accommodation post restrictions.
  • Collating documents, reports and presentations and dealing with correspondence and filing as reasonably requested.
  • Acting as a central point of contact internally and externally on matters relating to Fly Zero business.
  • Taking minutes and managing action trackers, meet and greet and preparing hospitality and associated facilities when permitted.
  • Supporting the HR Manager with recruitment and associated administration and other duties requested by the Project Director and leadership team.

Locations

This is a full-time 12-month appointment based at the ATI’s London or Cranfield office once restrictions are removed. Currently staff are working remotely from home. Post Covid, it will require occasional travel to other locations in the UK where Fly Zero staff are based, and for events held in venues around the UK. The project will cover costs of travel beyond normal commutes and overnight accommodation when needed.

About you

The candidate will have a solid foundation in HR and a desire to support the successful project delivery.

Experience should include:

  • Experience of carrying out a similar role and working within a small organisation would be beneficial but is not essential.

Characteristics and skills

  • The ideal candidate will have high levels of accuracy and attention to detail, be able to meet deadlines and respond to queries in a timely fashion as well as being personable, positive and an excellent team player.
  • The candidate will be able to prioritise actions and requests intuitively and collaboratively to meet the demands of the Fly Zero project and individuals.
  • Strong communication skills, written and verbal, will be essential as well as being able to build relationships with colleagues.
  • The candidate must be computer literate, particularly in Microsoft Office packages.
  • Experience of carrying out similar roles would be ideal and you should be very self-motivated.
  • Having experience of working within a small organisation would be beneficial but is not essential.
